Team Assistant/ Search Coordinator

As a Search Coordinator, you will support our Directors on the entire lifecycle of each of their projects, owning the administrative element and working closely with their Associates on each client deliverable. A background in fashion, recruitment, client focused deals or similar would be advantageous.

The successful candidate will be ambitious, proactive and dynamic with experience in dealing with a large team and handling multiple personalities. You will have a professional mind-set, be used to juggling, prioritising and working to very tight deadlines with no room for error. The candidate will be smart, solutions-orientated and be able to turn work around quickly. You will be concise, highly discreet and able to deal with people confidently at all levels.

Duties include; 

  • Complex diary management: coordinating multi round, client-candidate interviews and creating interview schedule matrices, consulting multiple diaries and liaising with a number of different stakeholders to ensure the timely scheduling of all meetings
  • Population, proof-reading and formatting of longlists, shortlists and update reports for presentation to client
  • Arranging regular catch-up calls/meetings between the company and the client; identifying and ensuring key stakeholders are in attendance, taking minutes and monitoring actions. Building relationships with key team members client side including the support team (Exec Assistants, Accounts and HR, etc)
  • Responding to internal process & policy by ensuring all documentation is collected and recorded on internal database, ensuring records accurately reflect work-stream of all team projects
  • Managing individual work-stream and responding to expectations of clients, continuously feeding back to Directors on progress and status of projects
  • Assisting with front-of-house, maintaining meeting rooms to a high standard and greeting guests, monitoring the guest list for each day and preparing refreshments ahead of time. Must be presentable and confident when dealing with visiting clients and candidates
  •  Facilitating Skype and video conferences across multiple time zones for virtual meetings for both company and client interviews with candidates
  • Coordinating complex domestic and international travel itineraries for the team and candidates, processing expenses where necessary
  • Taking inbound calls and fielding candidate/client enquiries

Assisting the other PA's, HR, Events as well as any other tasks as may be required from time to time including providing cover for colleagues across the business on an ad hoc basis
