Experienced Finance PA to support the asset managers in this hugely successful and well established firm.

Purpose of the role;

Responsible for providing comprehensive, proactive and confidential administrative support to the Private Clients Department.

Responsibilities include travel, diary management, email in-box / correspondence management, preparing for meetings, collating reports, preparing reports, analysis and graphs.

Main Tasks and Responsibilities

  •  Provide support in all aspects of general organisation, focusing on administrative duties, projects and prioritising daily information flow;
  •  Monitor and screen incoming calls, troubleshooting and acting as gatekeeper;
  •  Manage email & business calendar on a daily basis; dealing with correspondence on his behalf and scheduling internal and external meetings;
  •  Prepare extensive travel itineraries, coordinate meetings when travelling, liaison with clients and executives;
  •  Coordinate internal and external requests and communications;
  •  Handle urgent, sensitive and confidential matters as required;
  •  Compile and produce reports, communications and PowerPoint presentations;
  • Work with the investment team on special projects, implementing and managingtimelines of workflow;
  •  Work within the executive environment with a high degree of integrity and confidentiality;
  •  Work to tight deadlines and deal with pressure and change;
  •  Timely completion and submission of all general administrative responsibilities;
  •  To liaise/co-ordinate with staff in London and the international offices;
  •  Maintaining the Portfolio Director/Manager CPD logs and gift and entertainment logs;
  •  Initiative and willingness to take on additional responsibilities as needed beyond the scope of the job description to ensure timely solutions; Undertake various ad-hoc assignments and projects.
  • Qualifications/Work Experience
  •  3+ years’ Personal Assistant experience within a Financial Services company, ideally within Asset Management;
  •  Advance knowledge of MS PowerPoint, Excel and Word;
  •  Ideally educated to Degree level
  •  Typing 60 wpm;
  •  Consistent ability to meet deadlines and priorities while maintaining high standards;
  •  Strong organisational skills with attention to detail, ability to multi-task, prioritise and handle numerous deliverables;
  •  Flexible and adaptable to change;
  •  Proactive and tenacious approach to problem solving and challenges;
  •  Strong communicator, good interpersonal skills with tact and good judgment in confidential situations;
  •  Self-starter with the ability to organise and manage own time and capable of working in a pressurised environment;
