We are currently recruiting for an Office Coordinator to provide an excellent service by welcoming staff and visitors to this growing Digital Entertainment firm. You will represent the company at all times in a professional manner being the single point of contact for staff in the office with regards to office and facilities management services and also provide administrative support to some key members of staff.
The successful candidate will also assist the Office Supervisor with a move to a new office and the transition thereof.
Duties:
* Maintain a professional service for external and internal enquiries by phone, email and in person. Ensure all enquiries are replied to and/or passed on to the correct person internally.
* Ensure Reception and phones are covered at all times.
* Maintain Security of the office at all times and liaise with Security on the Ground floor regarding visitor management.
* Provide services such as room bookings and hospitality services as and when required and ensuring that guests are looked after all the time.
* Provide event preparation services, including liaison with business contacts, room set-up to required layout, provision of associated materials and being on-hand to resolve issues and obtain technical support.
* Handle and administer postage, fulfilment and courier services.
* Assist with organising of meetings, workshops, seminars and company events as required.
* During working hours be available at Reception
General Facilities Administration:
* Assist Office Supervisor with moving staff from their current location to a new office and help staff with their requests in that regard and help with transition.
* Arrange travel for staff as required and according to company policy; also deal with driver/car requests for staff travelling on business.
* Liaise with building management and contractors and external suppliers as required
* Ordering stationery, office and kitchen supplies when needed.
* Resolve small technical or non-technical issues in the office, such as changing toner cartridges, setting up projector, hand-scan operation etc.
* Filing, archiving and administration of all related and required documents according into appropriate folders.
Key skills:
* Excellent communication skills and experience in handling people in a friendly but professional manner.
* Office Move experience
* Previous experience in office environment/Reception/Customer Service.
* Familiar with Office Management or Facilities Management processes.
* Resilient, self-motivated and enthusiastic.
* Smart and professional appearance.
* Ability to keep calm and controlled in emergency situations.
* Organised with the ability to multi-task and maintain order in a multitude of situations.
* Accurate, methodical approach to query resolution and recording/tracking of requests, such as room and travel bookings.
* Proficiency in MS Office Tools.
Desired:
* Basic understanding of financial tracking and monitoring of spend, production/layout of invoices etc.
* Knowledge of some Health & Safety and legal topics.
* Qualified First Aider and/or Fire Warden.
