Team Assistant

An exciting opportunity has arisen at a global leading organisation with beautiful offices based in Canary Wharf. This company have a corporate culture that is open and inclusive striving for excellence in all that they do. They are seeking a dynamic and enthusiastic Team Assistant to join and support their Natural Resources Team. The role of the Team Assistant is a busy, varied and a full-time role. This is a great opportunity to join a fast-pace, industry leading department, committed to excellence in product and client service.

You will be required to provide solid levels of flexible and professional support alongside the current Executive Assistants for the team with duties such as:

  • Assist the team EA with diary management to include collating the whereabouts for the team on a daily basis and sending to various internal stakeholders
  • Timely and accurate telephone answering
  • Update the team's Company Results calendar and spreadsheet
  • Ensure the team's marketing packs are up-to-date
  • Assist the EA with the team's extensive European and International travel, to include visa applications, whilst gaining an understanding of the firm's travel policy to ensure cost efficiencies at all time
  • Process all expenses in a timely manner
  • Participate in weekly team meeting and take notes of action points
  • Assist the EA with organising events to include client lunches, roundtable dinners with guest speakers, conferences and any other ad hoc team entertainment

Skills/Experience Required;

  • Previous Team Assistant experience, preferably be 2+ years in a similar role preferably within financial services entity or other blue chip environment
  • Must have a cheerful, positive can-do attitude
  • Must be flexible and adaptable in a fast-pace environment with the ability to multi-task
  • Good communication skills, confident and professional at all times, both verbal and written
  • Ability to work under pressure, dealing with multiple deadlines and changing priorities
  • Calm, professional and resilient, with the ability to problem solve
  • Consistent, reliable, good time-keeper
  • Experience of supporting a large team
  • Must be a team player with excellent team working ethic
  • Able to maintain confidentiality
  • Good knowledge of all Office applications - Word, Excel and Powerpoint
  • Knowledge of Concur and CRM an advantage but not essential
