Our client, an educational charity is looking for an EA and Projects Officer to join their team on a maternity cover contract. You will be providing high quality administrative and EA support to the Executive Director of Communications, Development and Technology. Around 40% of the role will also focus on project work as defined by the Executive Director, also providing project support across the rest of the departments. The role will ensure that the Executive Director and other direct reports are fully supported in an administrative capacity and the project work will aid and inform the impact of the division.

Responsibilities:

  • Providing extensive diary and inbox management for the Executive Director of External Relations
  • Producing reports and statistics
  • Processing expenses and track departmental budgets
  • Contributing to and managing ad-hoc cross divisional projects
  • Organising key internal events and meetings including sourcing meeting rooms and speakers, scoping the needs of the event and sourcing food and technical equipment where appropriate
  • Managing internal meetings, developing agendas, collating documents and taking minutes
  • Ensuring the Executive Director is fully briefed and agendas provided for external meetings
  • Drafting communications, letters and briefings for a wide range of key stakeholders
  • Monitoring and reporting on departmental KPI's
  • Reviewing administrative processes and budgets
  • Becoming an expert on Sharepoint, Salesforce and other relevant information systems ensuring that the division as a whole is upskilled and knowledgeable in this area
  • Ensuring that all relevant data is recorded correctly
  • Working closely with other PAs within the Executive Director's departments and supporting and coaching them
  • Designing and delivering ad-hoc projects across the departments within the division as defined by the Executive Director of Communications, Development and Technology
  • Supporting the Executive Director and direct reports as required with processes relating to budget, people changes, induction and recruitment

Preferred Skills and Experience:

  • Proven experience of high-level executive support
  • Excellent interpersonal skills with the ability to communicate with a range of stakeholders across all levels of the organisation
  • Ability to produce clear and precise communications; to write and draft quality papers
  • Strong Excel, Outlook, PowerPoint and Microsoft Office skills
  • Adept at applying basic concepts of project planning, execution and monitoring for effective and timely implementation of assigned projects.
  • Project management qualification or equivalent experience
  • Some experience managing the logistics and delivery of executive events
