THE COMPANY:

Our client is a boutique Architecture and Interior Design firm based in the City. They are a well-established organisation with an international presence and are now looking for an experienced Finance Assistant to provide support to the FD as well as assisting the Secretary with support for the team.


THE ROLE:

Finance Assistance
  • Submit all invoices and payments
  • Reconcile monthly Creditor Statements and deal with Creditor queries
  • Take management of credit control and monthly Debtor Statements
  • Process cheque/BACS payments
  • To assist the preparation of: 
    • Quarterly VAT returns
    • Bi-monthly Management Accounts
    • Profit & Loss reports
    • Annual Income and Expenditure Budgets
  • Submit all time and expenses to be logged on projects ledger
  • To input forecast fees, erosions and costs to completion
  • Issue invoices in accordance with fee schedules
  • To issue all invoices and receipts
  • Manage petty cash and approve usage claims including monthly reconciliation
  • Monthly bank reconciliations
  • To compute and submit accruals and prepayments
  • Maintain schedule of fixed assets
  • To maintain the financial aspects of Personnel Records
  • To review and analyse nominal expenditure
  • Input and reconcile monthly payroll
Secretarial/Admin Support
  • To assist in the daily operation of the office premises
  • To be responsible for all office equipment and maintenance contracts
  • Monitoring and managing diaries
  • Arranging meetings and preparing for, and servicing in-house meetings
  • Arrange Travel for Directors and team
  • Answering incoming calls, managing the post and supplies including ordering stationery
  • Preparation of relevant documents, presentations, submissions and the like
  • Provide Document Controller services in support of all projects
  • General office support duties such as photocopying, binding
  • Cover the Reception area when needed and ensure it is clean and tidy
 

THE PERSON:
  • Proven experience of financial administration is essential
  • Previous team administration / secretarial experience is beneficial
  • Fully competent on all Microsoft packages
  • Confident and articulate
  • Excellent communication skills
  • Experience within construction, design or architecture is beneficial
  • Ability to work to tight deadlines and follow strict processes.
