A dynamic professional services firm in the heart of Mayfair (relocating in first quarter of next year to the City) is looking for a Secretary/Administrator to support a team of Investment Managers.

Must have previous experience as a Secretary supporting a team at senior level, ideally in financial services or a professional services firm. Looking for good touch typing skills, at least 50 wpm as the role will entail 25% copy/ audio typing and 75% administration work.

  

Purpose of the role:
 

To provide efficient and effective secretarial and administrative support, thus contributing to an excellent client service and the smooth operation of the team.

Key Duties

  • Answer incoming telephone calls, answering enquiries, taking messages and passing on where appropriate
  • Open and distribute incoming post
  • Maintain manager/ teams diary,  including arranging meetings  and organising travel
  • Preparation of Manager/ team expenses
  • Management of client administration
  • Manage and file all correspondence and client files
  • Produce typed documents either from audio tape or manuscript
  • Collate and produce valuations, statements and cover letters on an ad-hoc and quarterly basis
  • Collate and send out accounts packages on an annual basis
  • Create and amend client presentation and meeting packs
  • Provide support to other departmental secretaries and staff as required.

The ideal candidate needs to be highly client facing, flexible in their approach to tasks, planning and organisation skills and have excellent attention to detail.
