An exciting challenge for a Fundraising Team Admin Assistant to assist this National Charity in playing an essential role to support the wider dispersed fundraising team
Main Duties and Responsibilities
General administrative responsibilities:

  • Support the Team Support Manager with day to day administrative tasks
  • Be the first point of contact for the fundraising hotline : respond to colleague queries in a timely and professional manager and ensure stock levels of materials are monitored and refreshed
  • Draft and produce written communications e.g. thank you letters, reports etc
  • Support the Team Support Manager with financial administration tasks including; raising purchase orders on IPOS, ensuring invoices are raised and being responsible for tracking and logging payment status, ensuring the team complete their expense forms in an accurate and timely manner
  • Maintain and update the CIS database which could include inputting enquiries, resource fulfilment, new contact details, event participation and income monitoring.



Challenge event support responsibilities:

  • Provide excellent stewardship to challenge event participants
  • Provide general administrative support to participants;
  • Being the main point of contact for initial queries across the team and partnership colleagues about events, responding to queries, chasing enquiries etc
  • Support with the co-ordination of challenge events; drafting template emails specific to each event, sending reminder emails to participants and organising training days and materials
  • Be responsible for taking payment of registration fees and monitoring fundraising progress
  • Ensure Just Giving pages are being tracked and coded accordingly



Essential

  • High attention to detail and consistent follow-through.
  • Commitment to providing a high quality service
  • Self-motivated: able to work alone as well as in a team.
  • Good standard of English and Maths qualifications preferably A level standard
  • Experience of working in an administrative environment
  • Good telephone manner
  • Good numerical accuracy
  • Ability to juggle priorities and manage time effectively
  • Good MS Office skills - using databases, Word, Excel, PowerPoint
  • Some evening, and weekend work and possibly overnight stays may be involved
