An excellent opportunity has arisen for a Portuguese speaking Team Assistant to work within an Asset Management firm based in Mayfair, London. You will predominantly provide full administrative and office support activities and will possess a willingness to take on extra duties and responsibilities.

As the Team Assistant you will be an energetic, proactive and well organised person who can provide administrative support in order to contribute to the efficiency and effectiveness of the Company. This is a small company so they are looking for a multitasker with a can do attitude to come on board and join the team of four. This is an excellent opportunity for any body looking to develop and grow their skills and abilities.

Your Responsibilities:

  • Provide general administrative/secretarial support to include phone coverage, copying, post and courier management, maintain archiving system, ordering items such as business cards, office supplies, office food
  • Assisting within all aspects of HR, namely pre-employment checks, keep employees files updated, controlling presences and days off, and make sure company's procedures are followed
  • Assist in processing meeting requests for team including organising and scheduling meetings and appointments, reserving conference rooms, liaising with reception, provide general support to visitors, refreshments, handouts, etc.
  • Assist in arranging travel for team members to ensure that the most economical options are taken advantage of; check and submit expense reports
  • As needed, assist team members by acting as liaison to Building Services with regard to equipment and building issues
  • May be called upon to take on additional responsibilities and/or perform other ad-hoc tasks as assigned

Your key skills:

  • Minimum 3 years' admin or assistant experience in a similar position
  • Good verbal and written communications skills
  • Good organisational and time management skills
  • Ability to multi-task and manage multiple requests, adapting to shifting priorities
  • Good knowledge of MS Office(Word, PowerPoint, Excel)
  • Portuguese speaking, educated at university level, finance background, previous experience in an asset management company preferred
