Role: PA to Directors
Position: Temporary with immediate start
Location: EC1
Salary: Up to £35,000
This is a 6 months position, working for an exciting and currently growing organisation. The role although temporary, may and could lead a permanent position once the new Chairman has joined. The organisation has been responsible for helping with the design of some of London's most Iconic buildings. Although property experience is not essential, an interest in this sector would be desirable.

A leading property design organisation, who are recognised by the Government for their work.
Daily Duties:
* Providing proactive, effective and efficient PA support and diary management to the directors
* Acting as a gate-keeper for the directors - Managing and filtering incoming correspondence and enquiries according to business priorities and responding to, redirecting or flagging which need to be brought to the directors' attention
* Managing diaries in a systematic and clear fashion and setting up meetings with key stakeholders to ensure the directors' time is used effectively. Proactively anticipating diary conflicts and suggesting solutions to align with business priorities
* Coordinating the directors' diaries to ensure they can meet regularly, meet with their teams and attend relevant internal and external meeting and events
* Ensuring that all meetings have clear agendas and that paperwork is prepared in advance and that all meeting delegates are aware of the purpose of the meetings
* Building good relationships across the organisation, keeping abreast of key activities underway in the business
* Supporting financial management, ensuring costs are tracked and processing purchase orders, invoices and expenses * Preparing presentations, letters and reports on behalf of the directors
* Maintaining excellent filing systems for the directors ensuring that confidential information is stored appropriately
* Updating the contact database regularly with key directors' contacts
* Maintaining the absence management system for line reports
* Supporting directors in on boarding new staff
* Coordinating room bookings, catering and equipment for meetings and events
* Coordinating travel arrangements
* Proactively checking and following up on action points and taking notes and minutes where required
* Proof-reading and preparing papers
Skills Required:
You'll need to have…
* Excellent IT skills including PC (Microsoft Word, Excel, Outlook, PowerPoint). Knowledge of Mac would be useful
* Excellent written and verbal communication skills
* Excellent attention to detail
* Proven experience of administrative or PA work, especially complex diary management
* Experience in supporting a busy team and working collaboratively
* Experience with meeting or events management
* Experience in managing finances eg raising purchase orders, processing invoices
* Discreet, diplomatic and maintain strict confidentiality
* Able to prioritise multiple tasks and meet deadlines
