A successful London based family are looking for a polished and professional Executive Assistant. This role requires previous personal assistant experience at senior level, excellent communication skills and the ability to work with absolute discretion at all times. The core hours of this role will primarily be 8:30-5:30, however due to the nature of the role, the successful candidate will need to have flexible working hours.

Responsibilities

  • Assisting in developing the initial infrastructure of the Family Office including IT, office space, telephones, admin process and procedures
  • Assisting in all aspects of a Charitable Foundation
  • Acting as a point of contact for the Family’s sponsorship of various cultural institutions
  • Managing business and social appointments and correspondence
  • Manging complex travel arrangements including commercial and private air travel, hotel reservations, airport transfers, passports and visas when required
  • Assisting in the management, staffing and maintenance of Family properties in London and overseas, acting as an interface between the Principals and their other staff
  • Tracking expenses and reimbursements
  • Providing support for all aspects of the Family’s health and their children’s education; including relationships with schools and tutors as well as scheduling sporting and social activities

Requirements

  • Previous experience in a support position to an executive level personnel, or personal assistance at senior level
  • Ability to work proactively in a developing working environment, both independently and in a team environment
  • Developed time management and organisational skills with meticulous attention to detail
  • Ability to manage and prioritise a heavy and varied workload
  • Work with absolute discretion at all times
  • Excellent communication skills, both written and verbal
  • Developed IT skills; specifically Microsoft Office
  • Ability to work non-traditional hours in occasion
