The Role


RSSB’s purpose is to support its members (the rail industry) to achieve their objectives of improving safety and performance and value for money across the rail industry. 

This job provides the secretariat management for Standards Committees, System Interface Committees, The British Standards Institution (BSI) Committees and their subgroups plus other committees managed by the team. 

The Stakeholder Support Manager’s role is to provide customer service.  It goes beyond the essentials of organising meetings, writing minutes, circulating documents and following committee protocol: it encompasses initiating, planning, implementing and improving meeting and committee arrangements and providing the assistance needed to satisfy the needs of committee chairmen, members and governance groups.

Good customer service is provided by supporting stakeholders in a timely, consistent and reliable manner, and maintaining an attitude and approach to work that guarantees this.  

 

Key responsibilities:

Principle Accountabilities:

•    Act as the first point of contact, both internally and externally, for the Committees and sub-groups you are responsible for and coordinating arrangements and communication in relation to those groups.

•    Collate documents due to be considered at each Committee or sub-group meeting, to ensure that the Committees’ purpose can be fulfilled. 

•    Provide the necessary documents and agenda for each Committee or sub-group meeting, to ensure that its discussions are properly informed. 

•    Draft the minutes of each meeting, to ensure that attendees’     contributions and the Committee’s decisions are accurately reflected. 

•    Communicate with stakeholders who provide or receive information connected with each Committee meeting, to ensure that their interests are properly served. 

•    Plan, arrange and maintain records of Committee business, to ensure that RSSB’s objectives for Committee processes are accomplished. 

Key Tasks:
•    Maintain close liaison with internal and external stakeholders to identify, obtain, check and compile documents required for each meeting 

•    Draft an agenda, collate documents and arrange discussion with the chairman in advance of the deadline for circulation to members 

•    Produce complete and accurate draft minutes, including records of attendance, discussions, decisions and actions, and provide promptly to chairman for review 

•    Ensure that actions relating to Committee business are completed 

•    Manage Committee affairs in accordance with agreed practices and procedures

•    Communicate with Committee members on matters of membership, elections and alternate representation 

•    Ensure that all information for internal and external stakeholders, requested and provided, written and unwritten, is effectively communicated 

•    Meet time targets for issuing meeting packs and issuing draft minutes, quality targets for minutes

Requirements


•    Minute taking experience / typing speed 40 – 50 wpm
•    A high level of reading, writing and comprehension of standard English 
•    Previous experience of supporting and organising committees/groups 
•    Proven ability to manage a varied workload and be able to prioritise
•    Ability to build very good working relationships with multiple and senior stakeholders within and beyond RSSB
