Team Assistant – London – Investment – up to £35,000

Fixed Term Contract until August 2017

Our client, a leading Global Investment Firm, is seeking an experienced Team Assistant to join one of their departments. The team requires a competent, proactive and enthusiastic person to organise and provide them with secretarial and administration support in a deal driven environment.  The team consists of a mixture of Senior Officers (Senior Vice Presidents & Vice Presidents) and Junior Officers (Assistant Vice Presidents & Associates).

Responsibilities

  • Organising and managing business trips for individuals or groups of travellers in accordance with internal procedures.
  • Organising internal meetings, booking meeting rooms using Meeting Planner and organising video and teleconferences.
  • Printing large complex documents which need to be collated & circulated to all relevant parties in a timely manner before meetings.
  • Organising and managing electronic diaries, across different time zones, using Outlook. Ensuring that the team calendar and relevant calendars are updated.
  • Arranging meetings with external parties via video conferencing, and telephone. 
  • Booking of restaurants and / or manage the provision of meals at meetings.
  • Email management.
  • Answering telephone calls.
  • Manage the online expense accounts of the team.
  • Working as part of a secretarial team to provide cover, and assistance for holidays or as required.
  • Ad-hoc secretarial and administrative duties as required (filing, photocopying etc.)

Requirements:

  • Working in a highly structured role that requires the individual to follow procedures and strict protocol.
  • Happy to be in a busy role that encompasses a high degree of team support.
  • Proactive, willing and flexible attitude.
  • Ability to meet tight deadlines and manage workload.
  • Ability to adapt quickly and be receptive to change.
  • Good team player that is reliable & works with a high degree of accuracy.
  • Professional attitude with good interpersonal skills.
  • Proficiency in English language is required. A second language is useful but not essential.
  • Good general knowledge of IT equipment and usage, Word, PowerPoint, Excel & Outlook. 
  • Training for in-house online approval systems for travel, approvals and expenses will be provided.
