A large investment banking client of mine based in Canary Wharf are looking for a Team Assistant to come on board and provide a high level of support within the Legal and Compliance team.

This is an ongoing contract position and is looking to pay the chosen candidate an hourly rate of up to £20 per hour

Secretarial Support Duties

  • Pro-active diary management, dealing with constantly changing schedules, prioritising time-sensitive tasks and meetings, pre-empting conflicting requests and acting as the main point of contact for all requests
  • Provide full telephone coverage including responding to and dealing with enquires and fielding calls
  • Processing expenses and payment of vendor invoices
  • Typing of correspondence with excellent attention to detail, including but not limited to the preparation of PowerPoint presentations and drafting routine correspondence
  • Processing incoming/outgoing mail, ensuring all post is dealt with quickly and efficiently
  • Assist team with filing and archiving; think through filing process for easy retrieval
  • Some travel management including the booking and coordination of business travel
  • Provide adhoc coverage within wider Admin team when needed

Administrative Duties

  • Manage and coordinate invoice process flow
  • Coordinate Compliance Training, including tracking attendance and managing logistics
  • Manage and maintain data in SharePoint sites
  • Managing/tracking/logging and reporting attendance via excel and internal systems
  • Submitting monthly bulletin points for team
  • Uploading updated Policies

Skills Required

  • Advanced Microsoft Word and PowerPoint skills
  • Intermediate Excel
  • SharePoint knowledge
  • Excellent attention to detail
  • Excellent organisational skills
  • Proactive diary management skills
  • Ability to multi-task
