This is a busy and exciting role providing seamless support to the HR Managers for a global Investment Bank in Canary Wharf. The primary focus of the role is to provide extensive diary management, organise complex travel arrangements and act as the first point of contact and gatekeeper for the team.


  • Extensive diary management; coordination of internal and external meetings, including organising all logistics
  • Coordinating travel arrangements; booking transport, accommodation, arranging visas and writing itineraries when required
  • Updating and maintaining holiday and sickness records
  • Checking emails, prioritising emails and drafting and responding when required
  • Preparing and supplying meeting presentations and documentation
  • Processing invoices when required
  • Providing holiday cover for other EA’s as required
  • Liaising with senior managers, internal and external colleagues
  • Building and maintaining relationships with colleagues and any relevant external clients and suppliers
  • Liaising with IT support to resolve issues
  • Ordering office stationery as required
  • Any other ad hoc tasks when requested


  • Proficient using Microsoft Office and Lotus Notes
  • Excellent interpersonal and communication skills both written and verbal
  • Ability to liaise with colleagues at all levels of seniority
  • Ability to manage and prioritise a heavy workload
  • Strong organisational skills with excellent attention to detail
  • Reliable, flexible and adaptable working approach
  • Remains calm under pressure
