A Fantastic media/technology company based in central London is looking for an Office Assistant to be based on reception to work under the Office Manager, assisting him on daily basis so he can get on with other projects. This is a global company with offices worldwide with approximately 35 people in the London office. The role will be highly client facing as clients from worldwide media organizations will visit the offices so must be accustomed to dealing with senior people & HNWI’s and have excellent customer service skills. This is a varied and exciting role where you will be the face and voice of the company.. Working with the Office Manager, your duties will include: General Office • Housekeeping – keep general office in a fantastic state, ensuring general office, meeting rooms and facilities areas are clean and tidy (no cleaning involved) • Stocking fridges and other supplies around office – fruit, coffee etc. • Meeting room prep • Coordinating office and charity events (parties and team building) • Running errands as and when needed • Updating company notice board on a weekly basis IT • Coordinate set up of computers with IT partner • Coordinate set up of phones with IT department • Set up of Monthly meetings equipment Administration • Ordering of stock and maintaining relationship with suppliers • Meeting room and diary management • Flight and travel booking for UK staff and Leadership Team members • Data entry and record keeping • Sending and Receiving post • Stocktaking The ideal candidate will have a minimum of 1 years’ experience in a similar role, as an Office Assistant and have great organisational and communication skills. Must be accustomed to working in a demanding and high pressure environment. Must have good IT skills and ideally a second language, either Portuguese or French.
