My client is looking for a talented On boarding Coordinator/ Project Administrator to provide administrative & delivery support on a number of projects within the business. To be successful in this role, you will need to be passionate, flexible and able to prioritise a busy workload. This will be an on-going temporary role with the potential to be extended.

Duties:

  • Maintain Programme/project resource data
  • Validate contractor timesheets on weekly basis prior to sign-off
  • Facilitate the Programme/Project joiners and leavers processes
  • Maintain Programme/Project Organisation charts and administrative data for the Programme/Project
  • Update project plans under direction of PM / Programme PMO
  • Update/Administer RAID logs under direction of Programme/Project Manager/Lead PMO
  • Validate system adherence for programme/project resources to ensure correct cost allocation
  • Raise purchase requisitions
  • Administer/Track Purchase Order (PO) process (authorisation & sign-off)
  • Complete requisition requests on behalf of the project
  • Maintain Invoice/PO tracker
  • Support development of data collection and reporting working with the PMO team and Project Delivery team
  • Support and contribute to the preparation of documents, letters, reports and presentations
  • Facilitate the sign-off of key project deliverables
  • Maintenance of electronic and manual files, including working with the Management Support Office
  • Responsible for overall records management and compliance procedures within the project
  • Attending internal meetings, minute taking
  • Update, validate and publish minutes, actions and decisions log
  • Ensure compliance to the businesses Security policy for all project documents
  • Administration of project artefacts e.g. secondees log , leave chart, central audit requests,  Governance chart
  • Arrange programme / project related meetings
  • Update the project board terms of reference as required (as members change)
  • Book and manage project team desk, meeting room  bookings on Condeco and Outlook
  • Conduct project-specific on-boarding activities and meet and greet new joiners including 3rd party suppliers and raising Service Catalogue requests

Skills:

  • Working experience and knowledge of project/programme methodologies
  • Experience working within a project/programme PMO responsibilities including financial tracking, planning and reporting and project resourcing
  • Key experience in all aspects of RAID management
  • Proactively able to create and maintain documents for project/programme governance
  • In-depth experience of project and division wide resourcing including strong understanding of  resourcing strategy, HR process, candidate management and on-boarding/off-boarding of different types of delivery resources
  • Working knowledge of PRIME(Clarity)/Microsoft Project
  • Evidence of PMO service supporting delivery methodologies
  • Advanced level expertise in Outlook, Excel and PowerPoint
