Our client is a global real estate advisor with an immediate need for a Secretary to support a key business line within the group from their city centre office in Leeds. Your role will be to provide a whole range of secretarial and organisational support to the UK Development & Planning Team, enabling them to execute the firm's strategy and business plan ensuring strong client delivery.

Core responsibilities will include, but are not limited too:

  • Fast and accurate copy and audio typing (min 55wpm)
  • Provide a high level of support in the production of presentations, pitches, reports, proposals in line with the Director's requirements which could include proofreading, creating charts/graphs, managing versions of edits and documents
  • Assist the team in meeting their financial reporting objectives and line management duties, i.e. client docket creation, project costs, invoices, billing, expenses and paper file set up
  • Ensure the team diaries, appointments and travel are efficiently organised
  • Schedule, book and arrange resources for conferences, meetings, appointments and travel, following firm policies for contracting with external and internal suppliers
  • Provide general office support including, photocopying, filing, typing letters, scanning, binding, archiving, opening and disseminating post, dealing with queries when necessary
  • Answer telephone and email queries promptly for absent team members
  • Act as focal point of contact and an efficient liaison between colleagues and clients
  • Accurately record diary commitments and business pipeline opportunities on office database, on a regular basis
  • Maintenance of any electronic filing systems/other filing systems e.g. client database/marketing materials, including electronic
  • Be flexible in order to undertake nominated/additional duties in order to ensure the smooth flow of work through the team or business units
  • Assist and support on Promaps and Go plans

The appointed candidate will be expected to have experience of the following:

  • Highly proficient in all Microsoft programmes including MS Word, PowerPoint, Excel and Outlook
  • Ability to set up conference calls and WebEx's using the required technology (e.g. Cisco phone system, BT WebEx)
  • Excellent business English both written and oral
  • Accurate typing speed of 55 wpm (min)
  • Demonstrable Secretary experience
  • An aptitude for an interest in database management and figures
  • Demonstrate technical competence in areas relevant to the role
  • Experience in putting presentations together in PowerPoint.
  • Experience working in the property sector or financial or professional services firm an advantage, however not essential
  • Use or Workday would be advantageous

We are looking for a proven Secretary who is comfortable working from 10am - 4pm, 5 days a week. You must be a professional and proficient individual who has an ability to build strong internal relationships and enjoys working as part of a team but equally comfortable working alone.
