School Secretary / PA : lovely school! There is a new fantastic opportunity to join a very exclusive preparatory school as a PA / School Secretary / Events. You do not need experience of working in a school for this role - they are very open to considering candidates who have PA, Events or Administration experience in a very fast paced environment however a strong interest in working with children and within education is essential. In this role you will be expected to handle matters with discretion and confidentiality, have excellent organisation skills, strong communication skills both written and verbal, be reliable, have good IT skills and be able to take initiative. In addition to be a Graduate or of Graduate calibre with an understanding of the English education system and have office based administrative experience.
This role will be in affect Autumn, Spring and Summer Terms (Monday to Thursday - 8.00am to 5.30pm Friday - 8.00am to 4.00pm), plus termly inset days, school events and an additional week at the end of each of the three terms. You will assist the School Registrar and Administration Manager with the following: *To provide effective and efficient management of the School Office. *To create a professional and welcoming reception area for parents, pupils, staff and visitors within a framework of excellent customer service. *To follow and maintain the School Office and Reception Policy Statement and Vision. *To manage the School calendar, planning and booking the termly Diary Dates. *To arrange staff meetings and minute when appropriate. *To arrange emergency cover for absent staff. *To draft and coordinate communications to parents using the school Parentmail electronic communication system. *To manage and oversee the work of the Office Assistant as set out on the Office Assistant Job Description. *To follow the School Office Annual Administration Schedule. *To provide first aid and administer medicine to pupils when necessary. *To manage suppliers to the school; liaising with supplier regarding orders and queries. Ensuring school is stocked with necessary supplies. *To liaise with school caterers regarding menus, catering staff etc. *To organise coaches for all school events and trips. *To assist the lead events coordinator with all school events, producing organisational schedules for staff and suppliers. *To coordinate the termly trips and events schedule, guiding staff through trips planning, health and safety risk assessments, collection of fees. *To carry out occasional administration for the DFE and Ofsted, including the annual census and EYPS coordination. *To have a good understanding of the workings and policies of the school. *To assist the activity week coordinator with the school's holiday activity weeks; coordinating logistics, staff, entertainments and attendance schedules. *To undertake any task that the Headmaster and Principal might reasonably require in order to fulfil the job. *Attend Parent Teacher Evenings, School Events, INSET, Open Days and such school functions as required by the Principal and Headmasster. *To observe Health and Safety requirements.
