Our client, a specialist Insurance firm is looking for a switched on PA/Office Manager to be based in their brand new office in Canary Wharf. You will be responsible for the running and management of the reception and office, providing administration support to division managers as well as working closing with the Executive PA. This role is for an all-rounder who will be a sole support function to the floor, therefore needs to be flexible and adaptable.
- Duties and Responsibilities:
- Ensure that you follow the firm’s systems, procedures and compliance at all times
- Meeting and greeting visitors
- Deal with telephone enquiries and taking accurate phone messages
- Filing
- Post collection and distribution
- Updating contact lists
- Meeting room bookings and catering requests
- Ordering office stationery and kitchen supplies with regular stock takes
- Running errands
- General Administration
- Maintaining the office - keeping reception, kitchen and printer area tidy and organised
- Collation and preparation of presentations and proposals using Word, Excel and PowerPoint
- Assisting the Customer Care and Operations team with printing, events and setting up conference calls
- Basic invoice and expense management
- Assist team with travel bookings
- Supporting Executive Assistant with PA duties and cover when necessary
- Ad-hoc support to the Managing Director
- Meeting arrangements
- Main point of contact for IT issues
- Managing Health and Safety, First Aid and Fire Safety
- Undertake learning and development issues arising from any appraisal, assessment or needs analysis
