Unique City Heritage site is recruiting for an Assistant to the Chief Executive and Membership Secretary role.

The ideal candidate should be a graduate with an eye for detail and enjoy a really busy positon.

This role requires exceptional organisational skills and being one step ahead.

A good communicator who can interact at all levels, must be a able demonstrate relevant experience on the CV!

oDealing with routine mail
oMaintaining the calendar of Committee Meetings
oArranging of meeting rooms for all Court and Committee meetings
oThe distribution of committee papers (postal and electronic).
oThe sending out of publications and inserts
oMass mailings (post & email) and
oMaintenance and analysis of mass mailing software.
oEvents research and managment of information
oManage events payments and queries
oJointly with one other secretary, managing the Company's filing system.
oManaging Events Annual Diary and issuing to members

Administrative support for Events Team:

oAct as first point of contact for internal meeting bookers
oEnter all internal meetings onto the venue management system (VMS),
oCoordinate requirements for member event bookings
oPrepare all contracts relating to member events
oPrepare all invoices relating to member events
oAssist in the planning of internal and member events to include catering, AV and other logistics as required
oProduce table plans, menus and place cards as required
oProduce draft event sheets for weekly planning meeting
oProduce final event sheets for key departments

Candidates should be able to demonstrate exceptional administation and event co-ordination experience.
