An excellent opportunity has arisen for Team Secretary to work within, an insurance company based in the City, London. You will provide administrative, secretarial and organisational support to various Divisional Managers and senior staff within Underwriting and Finance respectively.

An excellent opportunity has arisen for Team Secretary to work within, an insurance company based in the City, London. You will provide administrative, secretarial and organisational support to various Divisional Managers and senior staff within Underwriting and Finance respectively.

Job Description:

As the Team Secretary you will be a first point of contact for the team, dealing efficiently and politely with requests from clients and the departments. You will provide general administrative duties for the team as well as diary management and organising travel itineraries among other duties.

Your Key Responsibilities:

  • Meeting Arrangements: Coordinate and manage the schedules of approximately 5 senior staff ensuring a high level of accuracy, appropriate rooms and facilities are booked (set-ups, catering, and computer equipment in place)
  • co-ordinate extensive travel arrangements and visa requests as well as involvement in schedules and planning
  • Prepare expenses and monitor budgets, also ensuring compliance forms are kept up to date and policies are adhered to
  • organise, prepare reports collate and distribute papers for the relevant Board meetings
  • Internal and External Contact: able to communicate on all levels (written and oral) and be an important member of the team
  • Provide cover for the EA in their absence and deputise accordingly
  • Provide ad hoc cover for the Reception area when required and play a key part within the Administration team
  • A flexible all-rounder able to react to situations with a sense of urgency and a can do attitude

Your key skills:

  • Previous secretarial experience required, working with a team and being able to priorities workloads often operating under pressure
  • Excellent understanding of Microsoft packages i.e. Word, Outlook, PowerPoint and Excel
  • Minute taking experience useful
  • General understanding of the Insurance industry, and ideally the London Market and Lloyd's would be very useful
  • Excellent telephone manner and overall standard of personal presentation
  • High attention to detail essential
  • Sound educational background
  • Good secretarial and administrative skills
  • Willing to learn and develop
