PA / Office Manager
One of the UK's fast growing; leading social media agencies is looking for an Office Manager / PA. They are established as a truly global social media agency, supercharging social media marketing ad programmes and are specialists in their field of Social Media Marketing & Social Media Monitoring,
The main responsibilities for the Office Manager / PA will initially be to manage an office move. This ranges from finding a new office, negotiating rates, project managing the move to informing suppliers and clients of the move.
Other duties include:
*To be able to work to multiple deadlines and on various projects at the same time. E.g. managing an office move combined with looking after directors diaries both personally and for the business.
*To work on admin for projects e.g. proofreading, data input etc.
*To assist all senior level management as required
*To organise any travel and accommodation for senior management
*To manage diaries for the COO and CEO
*To support senior staff with administration tasks such as photocopying, typing, filing etc.
*To maintain accurate financial records for bookkeeping
*To order, process and pay for goods/services, preparing purchase orders and invoices and ensuring best value for money is achieved at all times
*To monitor and check employee expenses when submitted
*To advertise for staff as required and administer any recruitment needs
*To oversee and manage the administration of the office
*To participate in internal and external meetings as required
*To ensure staff receive appropriate on-boarding and training (internal and external) to maximise their efficiency
*To meet and greet all clients and visitors to the office
*To order supplies
*To undertake such other duties as may be required by the Senior Management Team, which are commensurate with the job and grade
*To establish and maintain good professional working relationships with other members of staff in order to ensure that the office is being well and efficiently run
*To undertake organisational responsibilities as requested by the CEO and COO
Skills & Aptitude:
*Highly motivated and looking to grow within a high growth tech social player.
*Very organised, confident and resilient
*Trustworthy - working for directors you will need to be able to keep certain things confidential
*Experience of working in a start-up environment or small office
*Intermediate to advanced MS Office skills (Word, Excel, PowerPoint)
*Excellent telephone manner, together with good verbal and written communication skills
