  • Our client a property investment company are looking for a front of house receptionist to join their team. Based in great offices in London SW1 (Victoria) you will be a key point of contact for all stakeholders .
  • Duties will include
  • To ensure all telephone calls, both incoming and outgoing, are dealt with in a timely, efficient and polite manner
  • To ensure that all answer phone messages are listened to each morning and reach the intended recipients
  • Receive any online faxes and make sure that they are emailed to recipients in timely manor
  • Greet all visitors in warm and professional way and inform the meeting host
  • To ensure the reception area is tidy and well presented at all times, and that sufficient information leaflets etc are always available
  • To manage the booking of meeting rooms on Outlook booking system.
  • To ensure that at the beginning of the day the meeting rooms are set up with refreshments and at the end of meetings the rooms are cleared ready for the next meeting
  • Order lunches for meetings as required
  • Franking of all external post ready for Post Office collection
  • Book couriers, receive and sign for parcels and ensure they are delivered to the addressee
  • Maintenance of franking machine
  • Maintain standard stationery stocks, including binding requirements, and order as required
  • Maintenance of kitchen area including ordering sundry stocks as required, monitor stocks of crockery and glasses, loading and unloading dishwasher throughout the day
  • Update and distribute the internal phone list
  • Maintain the reception Standards and Procedures manual
  • First point of contact for office Building Manager, office Receptionist/Security, cleaning company, air conditioning maintenance company, electricians for light bulb replacement, window cleaners
  • Administrative responsibilities associated with Health & Safety as directed
  • Other general administrative duties as directed
  • Train new members of staff and temporary staff on the switchboard and franking machine to enable them to provide cover for the Receptionist role
  • Maintenance of plants in Reception

Customer Service

  • To present a smart, clean and alert appearance at all times when at work, and to ensure that personal conduct and behaviour reflect the values of the business
  • To develop excellent relationships with all staff, customers, external contractors and suppliers
  • To ensure the delivery of a high level of customer service


  • To ensure the correct use of materials and supplies in order that controllable costs are in line with budget
  • Ensure the correct use of the franking machine to manage costs correctly
  • To ensure that suppliers are providing best value and if applicable source alternatives

Please note that this role is an 8.00am - 5.30pm post Mon - Fri
