Our client are a financial services company in the heart of the City. They’re looking for a PA to join their busy Investments team. They're looking for someone with a genuine interest in Investments who has project management experience. 

Responsibilities include:

  • Diary management for senior members of the team
  • Scheduling meetings and personal commitments
  • Booking of meeting rooms, arranging refreshments and providing associated materials
  • Managing UK and overseas travel arrangements, including transport, currency and accommodation
  • Maintaining organisational charts, inductions and training, seating plans and performance management systems
  • Monitoring calls
  • Reconciling, processing tracking and filing of expenses and invoices
  • Authorising IT requests and managing data service requirements
  • Handling all incoming and outgoing correspondence, including prioritizing, copying and distributing papers
  • Circulating board papers and client presentations
  • Maintaining client databases and spreadsheets
  • Maintaining filing systems, arranging archiving or confidential shredding when necessary
  • Absence tracking
  • Liaising with different departments, teams and senior management
  • Taking minutes in meetings when required
  • Writing and distributing management updates for meetings, chasing up action points and circulating final minutes and agendas
  • Providing occasional PA support for other teams when required
  • Ordering stationery
  • Dealing with all aspects of new starts, arranging security and systems access, desk moves, completing HR forms, drafting joining announcements
  • Organising meetings for internal & external guests
  • Providing inbox management support where required
  • Taking an interest in the product
  • Keen to learn more about investment management

They are looking for someone highly organised with strong attention to detail. Proven ability to be proactive and prioritise workload in a busy environment is a must. They require someone with fantastic interpersonal skills as you be liaising with staff at all levels of the business.

Other requirements:

  • Must have project management experience
  • Previous experience within financial services and have a genuine interest in Investments
  • Extensive knowledge, especially Access, Outlook and PowerPoint
  • Team player
  • Excellent communication skills. Ability to be clear, concise and prompt
  • Professional telephone manner
  • Confidentiality and ability to handle sensitive matters at all times
  • Ability to remain composed under pressure
