Our client, a global alternative investment firm is looking for an EA to join their team on a permanent basis. This is an amazing opportunity to join a global firm with an established track record, where integrity and excellence are valued. This is a fast-paced environment and you will be leading a broad range of administrative responsibilities for the London office and supporting the Corporate Investing team. You will be motivated and have previous PA or EA experience, ideally from within the financial services sector or other similar corporate environment.
Responsibilities:
- Organising internal and external meetings
- Communicating with suppliers and clients
- Managing international and domestic travel arrangements including flights, visas, hotels, transfers, trains, meals and collating travel itineraries
- Manage diaries including meetings, conferences and video conferences
- Coordinating internal and external meetings with business partners and clients
- Assisting with the preparation and printing of meeting materials and other documents
- Entering contact information in the CRM system
- Generating expense and claim form submissions
- Assisting with general administration including photocopying, printing, scanning, typing, couriers and post
- Working closely with the administration team on ad-hoc projects and the ensuring the overall smooth running of the office
- Fostering company culture and developing creative ways to improve the office environment
- Assisting with managing IT suppliers and understanding the basic IT requirements of the firm
- Providing cover for other EAs and reception cover during annual leave and absence
- Working with the administration team globally to develop robust administrative processes
Preferred Skills and Experience:
- Three years of previous PA and EA experience at a senior level within the financial services sector or another similar corporate background
- Experience supporting an international team and individual and the ability to work across different time zones and with demanding travel schedules
- Excellent diary management skills and the ability to cope with multiple changing schedules
- Extremely well organised and able to multi-task, juggle workloads and meet strict deadlines
- Confident communicator, particularly with regards to telephone and email communications at a senior level
- Advanced knowledge of MS Word, Excel, PowerPoint and Outlook
- Strong work ethic and willingness to achieve an exceptional standard of work
- Friendly and energetic personality who can perform under pressure and keep pace with a busy team
- Great attention to detail
