PA to Group Director & Project Coordinator - West London

Our client is a very well known, international, successful, leisure and entertainment company

Description

An exciting opportunity has arisen for a PA to support the Group Project and do project support duties for a well known, successful international entertainment company. Your duties will include:

  • Extensive diary management on behalf of the Group Project Director
  • Inbox management
  • Arranging meeting and making sure the Group Project Director is well prepared for meetings with all necessary paperwork and information.
  • Booking international travel including flights, arranging visas, accommodation and producing itineraries.
  • Prepare and distribute all monthly Development and Executive Board paper information
  • Ensure all project contracts, payment schedules and contract synopsis are executed and filed.
  • File and manage all hard copies of each Project Book
  • Produce and distribute all site due diligence reports to relevant team members and departments
  • Source information as necessary to enable the Director to speak/write with authority and full understanding of any issues arising
  • Coordinate meeting schedule ensuring all attendees are aware of relevant information
  • Consistently maintain accurate, logical files and records
  • Demonstrate confidentiality in relation to sensitive information and documentation
  • Produce/prepare accurate reports
  • Take minutes in meetings
  • Arrange off site conferences/meetings/training courses working to a budget
  • Ensure that project meetings are coordinated and that minutes are produced which accurately reflect all that has taken place
  • Produce PowerPoint presentations
  • Track and coordinate all fortnightly reports and budget updates
  • Process expenses
  • Provide ad hoc PA support to 5 Directors of the Project Management team as and when needed

Profile

The ideal candidate for this role will have:

  • Previous PA experience
  • Experience of project coordination
  • Excellent organisational, multi tasking and time management skills
  • Proven ability to meet deadlines set
  • Excellent communication and interpersonal skills with the confident to liaise at all levels
  • Strong attention to detail
  • Be a good team players
  • Excellent IT skills - Word, Excel, PowerPoint, Outlook
  • Be able to take minutes in meetings

Job Offer

On offer is salary of £30,000 + bonus and benefits package
