Temporary Scheduling Officer - £13.50 per hour

Our client, a UK wide regulatory body is currently looking to recruit a temporary Scheduling Officer for a period of 3 months. You will manage and coordinate the timely and efficient scheduling of Fitness to Practise events in accordance with processes and legislative requirements. You will manage a varied and complex mix of allocated cases, whilst ensuring that a high quality of customer service is provided to all stakeholders, both internal and external.

Your key responsibilities as a Temporary Scheduling Officer will be:

Scheduling

  • Delegated authority to select members of the Practice committees for Fitness to Practise proceedings whilst monitoring conflicts of interest, to ensure that registrants have a fair hearing
  • Undertaking a risk assessment of for a variety of hearings, highlighting any issues to the Scheduling Team Managers or Adjudication Managers
  • Publishing allegations and hearing information on the website, ensuring that confidential and sensitive information are appropriately redacted, in line with the publications policy
  • Maintain and update systems and databases to record hearings making sure information is kept up to date, accurate and accessible in accordance with relevant policies.

Stakeholder Management

  • Act as an established point of contact for Partners, service providers and interested parties in relation to services required at hearings
  • Liaise with external lawyers, legal assessors, panel members, registrants, suppliers, union representatives and other relevant external bodies, providing guidance where necessary
  • Liaises with all employees internally, in particular, the Case Management Team, Partners, Facilities and the Communications Department
  • Monitor partner attendance to ensure provision of services and raise any issues with the Scheduling Team Managers
  • Authorise external venue proposals for Fitness to Practise hearings whilst maintaining an awareness of budgetary constraints and implications.

Witness support

  • Able to provide support and guidance to witnesses and others attending hearings who may be distressed, vulnerable or disruptive.

Department Support

  • Providing Hearing Officer cover for Fitness to Practise hearings if the need arises
  • Responsible for the co-ordination of special measures that may be required for hearings
  • Providing cover or administrative help for other roles within the department.
  • Assist in the induction and training of new colleagues within the team.
  • Contributing and assisting in projects relating to the Fitness to Practise Department

Person specification:

  • A confident, friendly and outgoing approach
  • An ability to tackle all aspects of the role with enthusiasm and professionalism
  • An excellent telephone manner and presentation
  • A reliable and conscientious approach to work
  • An ability to manage conflicting priorities
  • An ability to work under their own initiative and think about improved ways of working
  • A good working knowledge of Microsoft Office
  • Previous experience in the not for profit sector is desirable, but not essential
