Management PA/Secretary – 9 month Maternity Contract
Superb opportunity to work for a fast paced and entrepreneurial organisation based central Brighton, this role will be to support the COO and Executive Office with a wide range of tasks and responsibilities.
Key accountabilities and duties
Roles and responsibilities include:
·Extensive PA support to the COO Europe.This includes diary, expenses and travel management, assistance with coordinating projects, managing budgets and HR administration.
·Working closely with the Europe Operational Management team to deliver the successful operational running of UK Centres. This includes supporting and coordinating operational processes and being specifically responsible for managing and monitoring governance processes including:
oActing as a key point of contact for UK Centre Management Committees and Joint Venture enquiries.
oCoordinating Centre Management Committee meetings and understanding key issues and actions arising in order to follow up and monitor progress.
oEnsuring that board papers, agendas and minutes are compiled to a professional standard and distributed in a timely manner
oOrganising and maintain an annual timetable and diary of key meetings.
oManaging deadlines maintain quality standards for consistent reporting.
·Develop good working relationships with all Senior Management Team members and joint venture staff, as well prospective new partners and other contacts from the public and private sectors as necessary.
·Manage relationships, through developing sound relationships with partners and ensuring clear, consistent and accurate communication, organising useful, relevant and informative Management Committee meetings, and Strategy/Stakeholder meetings.
·Support the Europe Operational Management team with business operations through the preparation of documentation and provision of information as required:
oPreparing papers and agendas for meetings.
oCollating and formatting reports.
oTaking minutes.
oSetting up meetings including face to face, teleconferences, and video conferences.
oTaking calls and acting as point of contact for internal and external queries for the Europe Operational Management team.
oEvent management:
§Organising internal events, such as UK Senior Management meetings and other Europe based events
§Organising external events and hospitality
·Work alongside the Executive Support Team as required, assisting with group projects, meetings and events.
Experience and Skills
·Good level of education
·PA experience at high level
·Experience of minute taking
·Global exposure
·Strong technical skills
·Any experience within the education sector
·Experience of working in fast paced, high energy environment
