A globally renowned and highly respected Investment Bank is looking for an exceptional EA to support their incredibly busy CEO. They are looking for a high-calibre, experienced EA to provide comprehensive, professional secretarial and administrative support to this incredibly busy individual.
As the CEO's EA you will need to be bright and confident with a proactive attitude to your role. Your duties will include:
Diary management
- Acting as the ‘gatekeeper’, understanding the people/organisation and protecting time in her diary; find that “extra hour a day”.
- Ensuring CEO is prepared before each meeting, e.g. producing and/or collating papers, ensuring adequate prep time, sorting logistics
- Ensuring follow ups to meetings are agreed and actioned
- Anticipating and resolving issues in advance, e.g. conflicting meetings
- Thinking ahead, informing others of changes to schedule, e.g. meetings running late
- Proactively shows leadership in managing CEO appropriately when needed
Travel
- Responsible for organising all necessary hotel and travel arrangements as required
- Having regard for other meetings, time zones, transfer times etc.
- Responsible for accurately preparing travel itineraries
Admin
- Administrative/sales support to the wider management team when required
- Reconciling expenses and claims promptly and accurately
- Ensuring all printing requirements are met (e.g. DPC)
- Some personal assistance
Knowledge and skills required:
- Prior experience in financial services us advantageous, working as a Personal Assistant at the most senior level.
- Excellent interpersonal skills – able to communicate clearly and effectively at all levels. Extensive experience of dealing confidently and professionally with the wider internal senior management population, and externally with clients/professional contacts.
- Numerate with good analytical ability.
- Strong organisational skills, ability to multi-task and maintain exceptional attention to detail even when working under pressure.
- Can do attitude; approach all tasks with energy and enthusiasm.
- Understands the need for discretion and displays the highest levels of professional integrity.
- Enquiring mind and a desire to succeed.
- Strong IT skills to include advanced PowerPoint, Word and Excel.
- Self-motivated, efficient, reliable.
- University degree preferred.
