My client is a renowned cancer charity. They are seeking a PA to provide a personal service to 2 Directors as well as administrative support to all colleagues who are based at their Cambridge site.
This role would be ideal for a pro-active, assertive and experienced PA who could organise the lives of 2 very busy individuals as well as being experienced in office administration
Key Responsibilities:
-proactively manages the diaries of the 2 directors
- email management ensuring priority emails are responded to efficiently
- organising internal/external meetings (organising date, venue, inviting attendees, preparing agendas, sending paperwork)
- preparing presentations in MS PowerPoint, formatting MS Word and Excel documents
- setting up Phone and Video conferences
- organising travel for meetings and business trips including complex international travel
- booking and preparing meetings rooms (ordering catering, installing TC,VC)
- book in and greet visitors for meetings
- processing cash and P-card expenses
- processing expenses
- acting as Office Manager to the site including:
- support the CRTPA team to manage team inbox
Person Specification
- Solid experience of working as a PA to one or multiple customers, ideally a minimum of
3 years experience
- Pro-active diary management
- Excellent attention to detail
- Experience in organising travel
- Strong office administration skills
- Ability to be assertive and confident when liaising with others
- Can influence at all levels
- Excellent customer service skills – able to remain calm in difficult situations and find solutions
- Able to build relationships with colleagues and able integrate as an active member of organisation
- Proven ability to use MS Office package to an intermediate/advanced level.
- Able to maintain a high level of confidentiality and discretion when dealing with sensitive information
- Experience of using a purchase ordering system would be desirable.
