A fantastic opportunity has arisen for a PA to join a educational establishment. The PA is responsible for ensuring that the Head’s time and efficiency is maximised, whilst at the same time acting as a liaison between the Head and faculty, staff, trustees and external constituencies. The PA is responsible for providing full organizational and secretarial support to the Head of School and assisting in ensuring the smooth running of the Head of School Office. As Secretary to the Board of Trustees, this role also involves attending Board meetings and taking minutes, liaising with trustee members, creating trustee documents and organizing events.
Summary of Major Responsibilities
- Respond directly (and deputise where appropriate) on behalf of Head of School to all visitors, correspondence and telephone calls on routine matters, composing selected correspondence on behalf of the Head of School, or directing the enquiry to an appropriate alternative.
- Schedule and coordinate appointments with faculty, staff, students, parents, trustees and external constituencies in order to maximise Head of School’s time and availability efficiently.
- Establish importance and urgency of matters and ensure that the Head of School and trustees are in possession of all relevant background information and documentation for each meeting. Organise Head of School’s travel arrangements.
- Track and record faculty evaluations.
- Complete conference registrations for faculty and administrators.
- Prepare annual returns for submission to various government and educational organisations.
- Coordinate visits of speakers, dignitaries, and friends of the School as required.
- Process Head of School’s and Board of Trustees’ expenses and monitor the budget.
- Event planning and organising school-wide functions
- Preparing the annual meeting calendars for both the Senior Administration Team and the Board of Trustees, including room bookings, catering requests and media requirements.
- Coordinate monthly Board meetings
- Take notes at Board meetings and prepare minutes
- Organize gifts for special recognition awards and for all resigning/retiring trustees.
- Send out notification of Annual General Meetings of the Company, compiling the notices, agenda and minutes, making sure all relevant materials are circulated appropriately and in a timely manner.
Essential qualifications/experience
- Minimum 3 years’ experience as PA at director
- Ability to work unsupervised and under pressure
- Strong organisational, communication and technology skills
- Experience of working in an academic environment
Desirable qualifications/experience
- Education to degree level preferred
- Experience in an educational environment
