My client a leading media law firm are looking for 2 PAs to provide first class, responsive and proactive PA and secretarial support to a partner and four fee earners within the IP team.
Key responsibilities and duties will include (but are not limited to):
- Call Management – Answering the telephone and responding to queries in a helpful and courteous manner, ensuring that the client/caller experiences the highest quality of service at all times.
- Confidential PA support – PA support and diary management to the partners and fee earners. This could include, but is not limited to; arranging internal and external meetings; appointments and travel arrangements. The successful candidate will need to show good judgement with regard to priorities and urgency and be able to resolve conflicting conflicts.
- Document Production - General maintenance, updating and production of documents and file notes; preparing and collating documents for meetings; audio and copy typing; drafting general correspondence (using house styles). Opening and screening mail. Efficient maintenance of files, ensuring both electronic and hard copies are kept up-to-date.
- Financial Management – Proactively dealing with financial management to include the preparation of invoices and monthly billing on the Elite 3E system.
- General – Understands and adheres to the partnership's Risk Management and Compliance procedures. Aware of the importance of building and maintaining relationships with the partnership's clients.
KEY REQUIREMENTS:
- Sensitivity to the requirements of working for staff in a partnership environment; able to maintain high levels of confidentiality and discretion as appropriate.
- Self-motivated and proactive. Enthusiastic, confident with good organisational and administration skills. Flexible and able to effectively manage a number of priorities at any one time.
- At least two years recent Legal PA experience with accurate typing circa 60+ wpm and attention to detail. Good Word skills and experience of Microsoft products (Outlook, Excel, PowerPoint). Previous experience of a document management system would be beneficial but not essential. High level of accuracy and attention to detail.
- Previous experience with e-filing would be an advantage.
- Good communication skills, both oral and written.
- Proficiency in French, Spanish or German is an advantage but definitely not essential.
