PA to Director 

An experienced PA is required to run the office of a busy Director. This role requires someone super organised, with proven experience as a PA in a fast changing, busy entrepreneurial environment. Familiarity with the contemporary art world would be an asset. This role would suit someone committed to a professional PA career track.

Responsibilities:

  • Diary management
  • Travel booking for the Director who travels internationally, with complex itinerary management
  • Managing the Director’s correspondence and paperwork
  • Organising work lists and preparing documents to ensure the Director’s day runs smoothly
  • Processing invoices, purchase orders and monitoring and reporting on costs 
  • Attend and minute meetings
  • Maintain office filing, archiving, and catalogue library for the office
  • Personal support duties as required
  • Provide administrative support for the Directors artist activities such as:  liaising with artist studios as point of contact regarding projects and consignments; confirming consignment, pricing and general artwork details; prepare and analyse regular sales reports, and other reports as required to artists’ studios; manage and update exhibition sales report and send weekly updates on performance and activity of assigned artists.


Required Experience:

  • Proven track record in working as Personal Assistant at Director level
  • Experience of maintaining and monitoring complex diaries
  • Experience of organising international travel
  • Auction house experience would be an asset


Skills, Knowledge and Relevant Qualifications:

  • Excellent numeracy and written skills, good eye for detail
  • Highly organised with a proven system for tracking information and chasing work in a busy office
  • Pro-active work style, high initiative and able to deal with last minute changes and a busy workload
  • Active and confident communicator
  • Advanced user of Excel and Word, database experience
  • Familiarity with the contemporary art world
