Well-established boutique niche Commodities firm is looking for a professional and committed Secretary/Administrator to join their team.  Based in the heart of the West End, you will  be the pivotal ‘go to’ person providing support to the small office as a whole

Duties include:

  • Ensuring smooth running of office
  • First point of contact
  • Liaison with both clients & suppliers
  • Supporting the MD with financial administration and reporting
  • Generating and maintaining internal and external reports
  • Being the first point of contact
  • Booking travel
  • Maintaining a log of employees passports and visas
  • Maintaining spreadsheets
  • Preparing expenses and other invoices
  • Administering IT issues
  • Ensuring ongoing compliance
  • Responding to MD’s emails and post

Requirements

  • Previous office administrative/management/secretarial experience, preferably gained from a small office environment where you are used to juggling several balls!
  • Ability to ‘go the extra mile’
  • Well-presented and well spoken
  • Extremely organised with the ability to anticipate and prioritise work
  • Interest in setting up and maintaining administration procedures
  • Proactive with the ability to use initiative
  • Excellent verbal and written communication skills, ability to build & maintain relationships with clients
  • Strong MS Office skills
  • Numerate
  • Team player
