Our client a major within the Charity Sector are seeking a PA/ Team Assistant to join their team on a fixed term contract for 9 months.

In addition to its support for the charity in the UK, our client works closely with leading research institutes and charities in the UK, USA, Europe and Australasia.

An excellent opportunity has arisen for a Team Secretary/PA within the PA Team, who will provide professional, efficient and effective secretarial support to members of the Business Development and Legal teams as well as contribute to general administrative tasks. We are looking for someone with exceptional customer service skills who is well organised, proactive and a team player.

The main duties and responsibilities for this role are:

  • Monitor diaries, arrange meetings, make travel plans and arrange accommodation (including the maintenance of a bring-forward system).

  • Organise meetings and prepare agendas and events.

  • Answer incoming telephone calls, direct calls to appropriate member of staff and relay messages promptly.

  • Produce confidential correspondence, reports etc (from copy and audio sources).

  • Compose correspondence and edit/proof read documents as required.

  • Produce presentation materials (using packages such as PowerPoint).

  • Meet and greet visitors at reception.

  • Process and code invoices and expenses.

  • Maintain a comprehensive filing system in line with CRT practices.

  • Maintain and retrieve information from CRT databases as required .

  • Carry out general secretarial tasks including typing, photocopying and binding of reports.

    You will have proven experience of working in a busy environment with a flexible approach to conflicting priorities and tight deadlines. You must be able to demonstrate excellent communication skills both orally and in writing with people at all levels, problem solving skills and attention to detail. Other required attributes are strong data entry skills, accuracy, a willingness to take initiative and self-confidence and demonstrate your initiative as well as being a strong team player.

The post holder will have a GCSE grade A-C in Maths and English or equivalent, have proven PA experience including the use of a filing system, intermediate skills in Microsoft Office Outlook , Word, Excel and PowerPoint and a working knowledge of the internet.
